How we keep your data

What Aivynzo does today to keep your calls and your customers’ data apart, controlled and recorded.

  • A database per workspace
  • Roles and an audit log
  • Retention you control

Built in, not bolted on

A database of your own

Each workspace has its own database, and the organizations inside it are kept apart.

Roles and permissions

Admins decide who does what. A viewer sees the team’s work and changes nothing; agents see their own.

Accounts that stay closed

A password an admin sets must be changed at the first sign-in, and deactivating or suspending someone signs them out everywhere.

An audit log

Who changed what, and when — users, roles, numbers and settings.

Secrets kept secret

Passwords are hashed; carrier credentials are encrypted and never shown again once saved.

Recordings kept as long as you choose

Recordings and transcripts are removed after the period set for your organization (12 months unless changed); the carrier’s own copy is deleted once Aivynzo holds the file.

Support that only looks

When our support views your workspace as a user, it is read-only, limited to two hours and written to your audit log.

Roles and permissions

Who can do what, module by module

Three roles come built in — admin, agent and viewer — and you can make your own. For each module a role has full access, read-only access or none, and an admin sees the whole matrix on one page.

  • Admin, agent and viewer built in
  • Roles of your own
  • Full, read-only or no access per module
Permissions: what each role may do, module by module — full, read-only or none

Organizations

Each organization kept apart

One workspace can hold several organizations — a client, a branch, a brand — each with its own users, numbers, contacts and settings. People work in their own organization; an admin switches between them from the header.

  • Own users, numbers and contacts
  • Own settings and reports
  • Switched from the header
Organizations: each with its own users, numbers and data, in one workspace

Questions

Is our data separate from other customers’?

Yes — each workspace has its own database.

How long are recordings kept?

For the period set for your organization — 12 months unless changed — and then removed.

Can Aivynzo staff see our calls?

Only when support views your workspace for you: read-only, for two hours at most, and written to your audit log.

What if someone leaves the team?

An admin deactivates them: they are signed out everywhere at once and cannot sign in again, while their calls and history are kept.
